Business Office Administrator Full Time. 37.5 hours per week. Our Business Office Administrator will provide unparalleled customer service for the library’s administrative staff. This individual leads administrative support services for business operations departments of the Arlington Heights Memorial Library and serves as Executive Assistant to the Executive Librarian. Coordinates activities and communications between Executive Librarian and the Board of Library Trustees, including responsibility for many complex, confidential, highly detailed reports. As Executive Assistant, responsible for managing communication from the public and staff and handling official and informal greeter and customer service roles. On behalf of Executive Librarian, manages appointment/calendar planning and all necessary follow up of actions items from Board meetings and other key staff meetings.
This position requires outstanding written communications skills and superior attention to accuracy and details. Strong verbal communications and customer service skills in dealing with the public, patrons, staff and Board members. Requires a multi-tasker who is flexible in responding to changing priorities and in recommending changes to improve business processes.
Previous experience in executive level administrative support in a mid- to large size organization or multi-department responsibility strongly preferred. Previous experience in managing strong relationships with a wide variety of customers strongly preferred. Proficiency in use of Microsoft Office products required, especially Outlook Mail and Calendar, Word and Excel. Experience in managing administrative projects independently strongly preferred, as well as prior supervisory experience.
This position will report to the Executive Librarian, and currently has two direct reports. This is a full time (37.5 hours/week) position with benefits, including health insurance, annual leave allowance, and pension plan. Typical hours of work are Monday through Friday 8:30am – 5:00pm. Also requires several weekday evening shifts per month to prepare for and participate in various Board meetings and weekend hours 2-3 times per year.
Salary available is high $30Ks to low $40Ks, but will be commensurate with qualification and experience.
